Office Assistant
About the Position
The Alliance of Indiana Rural Water Association is a non-profit 501(c) 6 corporation that has been a state affiliate of the National Rural Water Association (NRWA) since 1982. The Alliance is a training and technical assistance trade association with over 1,000 members, including utilities and Associate Members throughout the state of Indiana. The Alliance currently has a staff of 19 working with rural and midsized communities across the state. We are currently accepting applications for a part-time position - Office Assistant.
The role of the Office Assistant is to support the association’s goals and objectives by assisting with the day-to-day operations of its office located in Franklin, Indiana, and collaborating with association staff to meet the needs of its members. Responsibilities include various clerical tasks and membership services, working with internal teams on apprenticeship programs, training and CEU processing, conference marketing and registration, website updates, and more. This position requires wearing many hats and handling a variety of tasks, which may frequently shift in priority. The role calls for flexibility to work both independently and collaboratively.
Roles and Responsibilities:
- Answer phones, monitor Alliance mail, email, faxes, and voicemails, and respond to inquiries promptly
- Support general association database administration, including reporting and data entry
- Process new member applications and ensure the database is consistently updated with relevant information throughout the membership lifecycle
- Assist in the inventory management of general association promotional items and office supplies
- Handle CEU processing for all events and trainings
- Assist with attendance management for training webinars
- Prepare binders, handouts, and mailings for conferences, pertinent trainings, and Exam Review courses
- Support pre-conference preparations, manage onsite registration, and handle post-conference processing and wrap-up
- Maintain various internal filing systems important to the daily running of the association
- Provide backup support to the Office Manager by overseeing contractors delivering services to the Franklin office, managing office equipment maintenance, and assisting with research and invoice processing as needed
- Collaborate with trainers and management to coordinate and confirm training sessions, ensuring all necessary details are finalized in advance
- Coordinate with host locations to schedule and prepare training venues, ensuring all logistical needs are met
- Maintain clear and consistent communication with hosts and trainers, providing them with essential information and materials leading up to the training
- Follow up with hosts and trainers post-training to ensure successful execution and gather feedback for future improvements
- Other duties as assigned
Job Requirements
Education, Skills & Abilities:
- 3-5 years of customer service experience, ideally in an office environment
- Not-for-Profit Experience is a plus
- Excellent communication skills, both verbally and written
- Proficient in Excel and other Microsoft Office products
- Must be detail-oriented
- Requires a self-motivated individual with the ability to work independently and take initiative
- Minimum of an Associate’s Degree in Business Administration or related field is ideal
Schedule: Part-Time, business hours (approximately 24-30 hours per week). Hours may increase during event weeks to accommodate additional responsibilities.
Work Location/Travel Requirements:
- This position requires a commute to the Franklin, Indiana office
- Travel within Indiana for events is required (5-6 times per year)

Hourly Pay: $18–$21/hour to start, depending on experience
